Create a checklist

Add a checklist inside the event to keep setup, day-of work, and follow-up attached to the plan. Break broad responsibilities into concrete items that someone can clearly finish.

Choose shared or personal

Use a shared list for work participants should see and coordinate together. Use a personal list for preparation that only needs to remain visible to its owner.

Assign ownership

When supported, give a shared item a clear owner so the group knows who is handling it. Ownership is most useful when the task is specific enough for one person to complete.

Complete and reopen work

Mark an item complete as soon as it is done so everyone sees accurate progress. If circumstances change, reopen it instead of creating a duplicate task with the same purpose.

Keep the list current

Remove obsolete work, clarify vague items, and review the list as the event approaches. A short accurate checklist is more useful than a long list the group no longer trusts.
